Communications Chair

  • Term: 1 year
  • Average monthly commitment: 2 hours
  • Duties: Create Constant Contact messages about events, announcements, and schedule them for email distribution. Manage email contact lists (in Constant Contact). Post events to social media (including Facebook, LinkedIn, and Twitter). Consider Instagram presence.
  • Benefits: Refine your social media skills for a professional audience. Build your professional presence online. Learn to use related platforms and tools.

Membership Chair

  • Term: 1 year
  • Average monthly commitment: 2 hours
  • Duties: Download chapter roster and identify membership changes monthly. Send a monthly summary and list of added/dropped members (with email addresses) to chapter leaders. Send e-mail welcome letter to new or reinstated members. Develop a welcome packet with membership application for leaders to distribute at meetings.
  • Benefits: Get to know your fellow chapter members. Build your professional network. Assist the chapter leadership in setting the direction for the chapter.

Webmaster

  • Term: 1 year minimum   
  • Average monthly commitment: 4 to 6 hours
  • Duties: Develop, manage, and maintain the chapter’s website. Manage hosting and domain registration with external vendors. Monitor and upgrade WordPress versions and plugins. Design the website, generate and revise web pages to keep content current. Research and implement improvements. Knowledge of WordPress is a plus.
  • Benefits: Get experience with the technical aspects of maintaining a website, as well as planning and developing online content.

Newsletter Chair

  • Term: flexible
  • Average monthly commitment: Variable
  • Duties: Help edit and organize articles in WordPress for bimonthly newsletter. Communicate with the author for approval of edits. Knowledge of WordPress or an interest in learning WordPress is a plus.
  • Benefits: Get experience developing online content and learn website tools.

Programs Chair 

  • Term: flexible (or consider being an assistant for planning 1 or 2 events!)
  • Average monthly commitment: 2 to 4 hours
  • Duties: Collaborate with other chapter leaders to plan in-person educational meetings and webinars. Identify relevant topics and speakers for chapters. Help identify and create event descriptions. Help locate meeting venues. Help plan menu and catering.
  • Benefits: Set the focus of chapter programs. Meet leaders in the field of technical communication. Gain experience planning and hosting meetings, webinars, and other types of presentations. Learn to use related platforms and tools (such as GoToMeeting).

GoToMeeting Specialist

  • Term: 1 year
  • Average monthly commitment: variable
  • Duties: Schedule GoToMeeting webinars for evening or daytime meetings. Provide event links to EventBrite and Programs Chairs, Webmaster. Schedule test meetings with speakers to verify audio and visual transmission. Open online meeting room for live meetings, monitor chat, and record meetings.
  • Benefits: Interact with noted speakers. Gain experience hosting online meetings. Develop audiovisual skills.

EventBrite Specialist

  • Term: 1 year
  • Average monthly commitment: 1 to 3 hours
  • Duties: Post event descriptions and create event tickets. Create event email reminders and send follow-up links to registrants.
  • Benefits: Work with event planners. Learn the art of online event promotion. Learn EventBrite tool.

Networking Lunches and Social Events

  • Term: 1 year
  • Average monthly commitment: 1 to 3 hours
  • Duties: Plan networking lunches and social events for the chapter. Coordinate with Communications Chair to publicize the event.
  • Benefits: Set up fun events and meet informally with other members.

Competition Chair

  • Term: 1 year
  • Commitment: 6 to 10 hours a month in October and November, with 1 to 2 hours a month in December, January, and February. Timing may be more flexible now because International no longer does competitions.
  • Duties: Promote the competitions locally and nationally, recruit and train judges, coordinate with another chapter to swap entries, and prepare certificates.
  • Benefits: See documentation produced by other companies and participate in discussions about what makes documentation worthy of an award.

Academic Relations

  • Term: 1 year
  • Commitment: 1 to 2 hours a month
  • Duties: Maintain relationships with college and university programs.
  • Benefits: See what students are learning.

Honors Chair

  • Term: 1 year
  • Commitment: 1 to 2 hours per month; more during January when results are compiled and submitted.
  • Duties: Maintain a list of chapter accomplishments that are used to rate the Chapter Achievement Awards.
  • Benefits: Communicate with chapter members and leadership.

Vendor and Sponsor Relations

  • Term: 1 year
  • Commitment: 1 to 2 hours per month
  • Duties: Recruit vendors and sponsors for our chapter. Can include recruiting sponsors to help offset workshop and meeting costs through advertising or direct donations. Can also include asking vendors or sponsors to donate meeting space.
  • Benefits: Build your professional network. Establish contacts within the local business community and with industry vendors.
